Terms and legal information
These terms apply to catering services provided by Tavola to business clients. They appear on every quote, which alone binds the parties once accepted.

Tavola operates under the small business exemption scheme, article 56bis of the Belgian VAT Code. No VAT is charged, and none is recoverable by the client. All prices quoted are net amounts payable.
Services
Tavola offers two formats, both quoted individually:
- Delivered catering: dishes are prepared in the workshop and delivered ready to serve. The client handles plating and service.
- Chef on site: the chef cooks in the client's own kitchen, using their own produce.
No waiting staff is provided. The service covers delivery and setup, excluding table service and collection of tableware, unless stated otherwise on the quote.
Quotes and orders
Every event is covered by a written quote, valid for thirty days unless stated otherwise. The order is formed when the client accepts the quote in writing, by email or by signature.
The menu, the number of guests and any specific dietary requirements are confirmed no later than five days before the event. A reduction in the number of guests notified less than three days before the event is invoiced on the basis of the number confirmed at that point.
Rush orders
Any order confirmed less than five working days before the event date carries a surcharge of 15 % of the order amount excluding tax.
This surcharge covers sourcing fresh produce outside the usual channels and lead times, as well as the rescheduling of production. It forms part of the price and is not a penalty.
The increased amount appears on the quote and is only due once the client has accepted that quote in writing. No surcharge is applied to an order that has already been accepted.
Cancellation and postponement
The client may cancel the order at any time. The compensation due is calculated on the total order amount, based on the time between notice of cancellation and the event date:
- more than 7 calendar days before the event: no compensation
- from 7 days to 3 days before the event: 30 %
- less than 48 hours before the event: 50 %
- less than 24 hours before the event, or on the day itself: 100 %
These tiers reflect how costs are progressively committed. Beyond 7 days, nothing is committed. From 7 days, fresh produce is selected and ordered from suppliers, and the production slot is reserved. From 48 hours, produce has been received and paid for and preparation has begun; it can neither be kept nor resold. Within 24 hours, the event is fully committed and the production slot can no longer be allocated to another client.
If Tavola cancels the event for a reason attributable to it, Tavola refunds all sums already paid and pays the client compensation calculated on the same tiers and the same percentages, applied to the same deadlines. No compensation is due from either party in cases of force majeure.
A postponement requested more than three days before the event, to a date agreed between the parties within sixty days, carries no compensation. Produce already ordered that cannot be carried over remains payable at cost price, on presentation of supporting documents.
Any cancellation, postponement or change to the number of guests must be notified in writing, by email. The date the written notice is received determines the applicable tier.
Allergies and dietary requirements
The client must report any allergy or specific dietary requirement no later than five days before the event, or as soon as the quote is accepted if that happens later. Recipes are adapted where possible.
Dishes are prepared in a workshop where the main allergens are handled, including gluten, milk, egg, nuts, fish, crustaceans, sesame and celery. The absence of traces cannot be guaranteed.
Payment
An invoice is issued once the quote has been accepted. Payment is due on receipt, by bank transfer, unless another due date has been agreed in writing.
Where a business client pays late, interest is due as of right at the statutory rate for commercial transactions set by the Belgian law of 2 August 2002, together with a fixed recovery fee of 40 euros.
Personal data
The quote request form collects the data you enter: name, company, email address, phone number, type of service, number of guests, preferred date and message. This is used solely to answer your enquiry and prepare a quote.
These messages are delivered by Formspree, a technical provider acting as a processor. The data is neither sold nor used for third party marketing.
Under the General Data Protection Regulation, you have the right to access, correct, erase and object to the processing of your data. To exercise it, write to contact@tavola-chef.be. You may also lodge a complaint with the Belgian Data Protection Authority.
Governing law
These terms and the services they cover are governed by Belgian law. In the event of a dispute, the parties will seek an amicable solution before any proceedings.
